This Privacy Policy explains how Reqlarity Ltd ("Reqlarity", "we", "us", "our") collects, uses, and protects your personal information when you interact with our websites:
reqlarity.co — our main website where you can learn about our services, contact us, and subscribe to updates.
reqlarity-tools.io — where you can access our strategy practice assessment tool (and any future tools we may add).
We take your privacy seriously and handle your information in line with the New Zealand Privacy Act 2020.
What information do we collect and why?
To keep it simple, we group the information we collect into three categories.
Technical information
When you use our websites, we may automatically collect information such as your device type, browser, and usage patterns. This helps us understand how people use our sites and improve user experience. We use Hostinger's native analytics and may in the future use tools like Google Analytics or CRM integrations.
Enquiry and subscription information
On reqlarity.co you may provide your name and email address (when you use our contact form), your email address (when you subscribe to our blog), and any other details you choose to include in your enquiry message. We use this information to respond to you and keep in touch if you have asked us to.
Assessment information
On reqlarity-tools.io you can complete:
Individual self-assessments (anonymous): We do not collect or store your responses. The data stays in your browser and is only used to generate your personal PDF report.
Team assessments: We collect your name (pseudonyms allowed), business name (pseudonyms allowed), and a valid email address so we can authenticate your access to the report. Responses from your team are stored securely in Google Workspace tools (Sheets and Drive). Reports are shared only with the requestor at the email address they provided. If you later enter into an agreement with us, we may store results longer to provide tracking and comparisons over time.
AI processing in the Strategic Practices Assessment
When a team assessment report is generated, certain data is sent automatically to Anthropic (the developer of Claude, an AI model) for processing. This data is used to generate four sections of the report: the executive summary, dimension interpretations, communication diagnostic, and competition narrative.
The data sent to Anthropic includes: aggregated dimension scores and per-question scores; response distribution counts (Always, Usually, Sometimes, Never, Not Sure); free-text comments entered voluntarily by respondents; competition section free-text responses; statistical summaries including staff and leader gaps and Not Sure rates; and role designations (staff or leader).
The data sent to Anthropic does not include your organisation name, requester name, requester email address, or individual submission identifiers. The assessment is identified only by a short alphanumeric code.
Free-text fields are completed voluntarily by respondents. If a respondent includes identifying information about themselves or others in a comment, that information is included in what is sent to Anthropic. We do not control what individuals write in open-ended fields. We recommend that respondents avoid including names or identifying details in their comments.
Individual self-assessment data is never sent to Anthropic or any third party. It remains in your browser only.
Anthropic processes team assessment data under enterprise terms that include a training opt-out. Your data is not used to train AI models. Report generation is automatic. No manual review by Reqlarity occurs between AI generation and delivery of the report to the requester.

How long do we keep information?
Individual self-assessments: no data is stored by us.
Team assessments: data is deleted 30 days after the report is generated, unless you have a separate agreement with us to keep it longer for trend analysis. AI-generated report content is cached for 28 days after generation then deleted.
Enquiries and subscriptions: kept as long as reasonably necessary to respond to you or manage your subscription.
We may keep fully anonymised and aggregated results, with all identifiers removed, to help us understand trends and improve our services.
Who do we share information with?
We only share personal information when it is necessary to run our services, comply with the law, or if you have agreed to it. This includes:
Anthropic, which receives anonymised team assessment data for automated AI report generation as described above
Our trusted service providers, including Google Workspace and Hostinger
Professional advisers such as legal or accounting support
Regulators or authorities, if legally required
We do not sell or trade your personal information.
How do we keep your information safe?
We take both physical and digital security seriously. This includes using trusted cloud service providers with strong security protections, password-protected systems and secure connections (SSL), and limiting access to assessment data to authorised Reqlarity staff only.
Your rights
You have the right to ask for a copy of the personal information we hold about you, ask us to correct it if you think it is wrong, and ask us to delete information we hold about you, subject to our legal obligations. To exercise any of these rights, contact richard@reqlarity.co.
If we cannot resolve your concerns, you have the right to complain to the Office of the Privacy Commissioner at www.privacy.org.nz.
